HRMS software for hotels and restaurants

Kuzhu is HR and payroll software for Indian hotels, resorts and restaurants: 24×7 rosters with split shifts and weekly offs for front office, kitchen and housekeeping, biometric or mobile punch judged against the roster, seasonal and agency staff on the same muster as permanent staff, and payroll with ESI for staff within ₹21,000, night allowances and service charge distribution as components you define. Joining and exit paperwork keeps pace with the season.

What month end looks like in hotels & restaurants

The roster is redone every evening

Front office, kitchen and housekeeping each keep a duty chart on paper; split shifts, banquet nights and weekly offs are rearranged daily, and the biometric log has no roster to be judged against, so month end is guesswork.

A season’s worth of joiners

Staff arrive in October and leave by April. Offer letters, PF and ESI enrolment and full and final settlements never catch up, and the register the labour officer asks for is assembled the day before the visit.

Pay made of many small parts

Basic, night allowance, service charge share, overtime for the banquet, meal deduction and an advance from the manager’s drawer are reconciled by the accountant at month end from three notebooks and a WhatsApp thread.

With Kuzhu

How the modules answer it

Every module reads the same employee record, so nothing below is an integration; it is one system seen from four sides.

Split shifts and 24×7 cover

Morning, split and night shifts per department, weekly offs that rotate, banquet and event days added on top, and every punch judged against the shift the person was rostered on. Swaps are requested and approved on the phone.

Shifts & Rosters module

Seasonal, agency and permanent on one record

Each person has an employment type, so seasonal hires, agency housekeeping and permanent staff sit on one muster and one headcount while following different leave and pay policies. Joining and exit are recorded events with their letters.

Employees & Org Structure module

Every allowance as a component

Night allowance from the roster, service charge distribution and overtime as components you define, meal and accommodation deductions, advances recovered by instalment, and ESI for staff within ₹21,000, all inside the monthly run.

Payroll module

Paperwork at the pace of the season

Offer, appointment and relieving letters from your templates on your letterhead, issued in minutes from the employee record, with an issue register and the muster and wage register ready when an inspector visits the property.

Questions hotels & restaurants teams ask on the first call

Can we run different rosters for the kitchen, front office and housekeeping?

Yes. Each department has its own shift patterns and weekly-off rotation, and a banquet or event can be added as an extra shift for the people who worked it. Attendance judges each punch against that person’s own shift, so a split-shift waiter is not marked absent at lunch.

How do we pay seasonal staff and settle them when they leave?

Seasonal staff are employees with their own employment type and a contract end date. Payroll runs for them like anyone else, and when they leave, full and final settlement computes the last salary, any leave encashment and advances outstanding, and the relieving letter comes from the same record.

Our staff do not all have smartphones.

A biometric device at the staff entrance covers attendance for everyone, and payslips can be printed or sent by SMS and WhatsApp. The app is there for supervisors to approve leave and swaps and for staff who want it; nobody has to use it to be paid correctly.

Does ESI apply to hotel and restaurant staff?

Generally yes, for establishments covered under the ESI Act, for every employee whose gross wages are within ₹21,000 a month. Kuzhu checks the ceiling per person each month, deducts 0.75% from the employee, adds 3.25% from the employer and produces the monthly contribution and the half-yearly return.
