For retail chains
HRMS software for retail chains
Kuzhu is HR and payroll software for Indian retail chains: rosters and headcount per store rolled up for the owner, GPS-tagged mobile punch for floor staff who never open a laptop, joining and exit paperwork that keeps pace with turnover, and payroll with ESI for staff within ₹21,000, professional tax by the state each store is in and incentives as pay components. Store managers approve leave from the phone between customers.

What month end looks like in retail chains
Forty stores, forty attendance registers
Each store keeps its own register or WhatsApp group; head office collects them on the second of the month, keys them into a sheet and finds out on the fifth that a store manager counted a half day differently.
Joining faster than the paperwork
Floor staff join and leave every month. Offer letters, PF enrolment and ESI registration lag by weeks, and full and final settlements are computed from memory, so every exit leaves a trail of small disputes.
One payroll, four states
Stores in Maharashtra, Gujarat, Karnataka and Rajasthan have different professional tax slabs, different holidays and different Shops and Establishments rules, applied by one accountant from a single sheet that does not know where anyone works.
With Kuzhu
How the modules answer it
Every module reads the same employee record, so nothing below is an integration; it is one system seen from four sides.

Punch at the store, approve on the floor
GPS-tagged punch from the phone at each outlet, leave requests in two taps and the store manager approving from the notification between customers. Half of retail never opens a laptop, and this is their system.
Mobile App module
Rosters per store, headcount for the owner
Opening, closing and split shifts per outlet with weekly offs that respect the state rule, published to staff phones before the week starts, and a live view of who is in at which store rolled up to head office.
Shifts & Rosters module
Joining that keeps pace with churn
Openings per store, a pipeline for walk-in and referral candidates, offer and appointment letters from your templates, and one action that turns an accepted candidate into an employee record with PF and ESI details ready.
Recruitment (ATS) module
The right state for every store
Professional tax by each store’s state, ESI for staff whose gross is within ₹21,000, incentives and target bonuses as pay components, and full and final settlements computed in the run when someone leaves in the middle of a month.

Questions retail chains teams ask on the first call
Can store managers run their own store without seeing the rest?
Yes. Role-based access scopes a manager to their store, so they see their team’s attendance, leave and roster and nothing else. Area and regional managers see their cluster; head office sees everything. Salary visibility is a separate permission that you grant deliberately.
What about staff who move between stores?
A transfer is recorded as a career event with a date. From that date the person’s attendance, roster, holiday calendar and professional tax follow the new store, and the record, leave balance and history come with them. No re-entry, no second employee id.
How is ESI handled when a salesperson gets a raise above ₹21,000?
Coverage continues until the end of the current contribution period, April to September or October to March, even after gross crosses the ceiling, and Kuzhu keeps deducting until then before stopping. This is the rule spreadsheets most often get wrong, and it is checked per person every month.
Do we need the Shops and Establishments registration per store?
Registration is per establishment under the state act where the store is, and its rules on hours, weekly off and leave apply there. Kuzhu does not file the registration, but it keeps the certificate with the branch’s documents, applies weekly-off and holiday rules per store and produces the employee registers the annual return asks for.
