For NGOs & trusts
HRMS software for NGOs and trusts
Kuzhu gives an Indian NGO, trust or Section 8 company the HR and payroll system a funded organisation needs at a price a small one can carry: employee records with the project and grant each person is charged to, GPS-tagged attendance for field staff, PF, ESI and TDS computed in the run, and salary cost reports by project for donor utilisation statements. The Basic plan is free for life for teams up to 15 people.

Salaries split across grants by hand
One coordinator is 40% on one project and 60% on another, and the split changes every quarter. The accountant rebuilds the allocation in a sheet for each donor’s utilisation report, and the numbers never quite tie to payroll.
Field staff nobody can count
Community workers and field coordinators are in villages three districts away. Attendance is a phone call, leave is a favour, and the payroll run waits on a coordinator who is out of network until Thursday.

How the modules answer it
Every module reads the same employee record, so nothing below is an integration; it is one system seen from four sides.

The project on the record
Each person carries the project, grant and location they belong to as fields on the record, so headcount, cost and reports can be cut by project as easily as by department, and a change is one edit with a date.
Employees & Org Structure module
Salary cost by project, on demand
Salary cost, headcount and attendance filtered by project, grant or location and exported to Excel, so the utilisation statement for a donor is a report from payroll rather than a spreadsheet reconciled against it afterwards.
Reports & Analytics moduleField staff on the same muster
GPS-tagged punch from the phone wherever the work is, with regularisation requests when the network was down, and leave applied and approved from the app, so the coordinator in the field is on the same system as the office.
Attendance module
PF, ESI and TDS without a consultant’s invoice
PF with the EPS split, ESI for staff within ₹21,000, professional tax where the state levies it and TDS with declarations computed in the run, with challans, ECR and registers produced from the same numbers as the payslips.

Questions ngos & trusts teams ask on the first call
We are a small trust with 10 staff. Is it really free?
Yes. The Basic plan is free for life for one organisation with up to 15 active employees, on fair use, and covers employee records, attendance, leave, documents and the mobile app. There is no card and no time limit. Payroll comes with the Growth plan, priced per employee on your actual headcount.
Can salary cost be reported by project for donors?
Yes. Project, grant and location are fields on the employee record, and salary cost and headcount reports can be filtered and exported by any of them. Where a person works across projects, the shares can be kept as custom fields and carried into the export, so the allocation in the utilisation statement can be traced to payroll.
Does FCRA change anything in payroll?
Payroll itself is the same. What an FCRA-registered organisation needs is to show which salaries were paid from foreign contribution and which from domestic funds, which is a matter of tagging people or projects to the funding source and reporting on it. Kuzhu keeps that tag on the record and reports by it; the FCRA accounts and returns stay with your auditor.
Do our field workers need smartphones?
For GPS punch and leave requests, an Android or iOS phone with the app is enough, and it uses the same login as the web. Where a field centre has a biometric device, that works too. Payslips can be sent by SMS and WhatsApp, so a basic phone still receives them.
